Documents on the file system are encrypted and the database can only be accessed with Username or Active Directory


Confidentiality
  • It is possible to easily establish rights (e.g. editing, sharing, deleting, etc.) for each user/group for each type of document (document class)
  • Access to the platform is guaranteed by logon providers such as Active directory, OAuth 2.0. It is possible to have segregated information in the same platform that is accessible only to certain groups of users
  • The document status also determines its visibility or accessibility.

Replacement or digital preservation

The AgID Guidelines on the management and conservation of electronic documents have been in force since 1 January 2022.

Substitutive preservation, whose correct name is digital preservation in compliance with the law, is the IT process that allows you to protect, safeguard and ensure the legal value of electronic documents within the company's document management system.

What makes the process of digital preservation different from that of archiving is the evidentiary value that is certified with the electronic signature and the affixing of the time stamp.

The requirements of unalterability, authenticity and legal validity of an electronic document in substitutive or digital storage are guaranteed by the hash mark, the digital signature and the time stamp.

These civil guarantees allow for the protection of documents in accordance with the law, over time, both in their transition from analogue to digital and directly in their digital format and are necessary as a safeguard against the possible loss of legal value and evidentiary effectiveness on the documents being preserved.
